Job Title: Office Manager/Office Executive (HR & Admin Executive)

Job Summary:
The HR & Admin Executive is responsible for providing comprehensive support in human resources and administrative functions. This role requires a deep understanding of local labor laws, effective management of HR and administrative activities, and ensuring smooth daily operations of the organization.

Primary Responsibilities :

Key Responsibilities:

A. Recruitment and Staffing:

  1. Collaborate with local and regional hiring managers to identify staffing needs and develop tailored job descriptions and recruitment strategies.
  2. Source candidates through job boards, recruitment agencies, and social media platforms.
  3. Screen and shortlist applicants, conduct initial interviews, and coordinate subsequent interview rounds.
  4. Manage the end-to-end recruitment process, from offer generation to onboarding, ensuring compliance with local employment regulations.

B. Employee Relations:

  1. Act as a point of contact for employees regarding HR-related inquiries, concerns, and grievances.
  2. Foster a positive work culture and employee engagement across locations.
  3. Address employee disciplinary issues and conflicts in line with company policies and local labor laws.
  4. Conduct exit interviews and analyze feedback to improve workplace environment and HR processes.

C. Performance Management:

  1. Assist in the design and implementation of performance management systems.

D. Compensation and Benefits:

  1. Administer compensation and benefits programs, ensuring compliance with local laws and market competitiveness.
  2. Provide employees with accurate information regarding their compensation and benefits and resolve related inquiries or disputes.

E. HR Compliance:

  1. Stay updated on evolving labor laws, regulations, and tax requirements.
  2. Ensure that all HR policies, procedures, and employment contracts comply with local legal frameworks.
  3. Coordinate with legal advisors and authorities as needed, and manage HR-related audits or inspections.

F. Administrative Support:

  1. Oversee office facilities, ensuring proper maintenance and functionality.
  2. Manage procurement of office supplies and inventory, optimizing costs and ensuring availability.
  3. Coordinate travel arrangements, visas, and work permits for employees traveling internationally.
  4. Organize and manage company events, meetings, and conferences, considering local customs and preferences.

Qualifications:

Education:

  1. Degree in Human Resources, Business Administration, or a related field.

Experience:

  1. Minimum of 3-5 years of experience in HR and administrative roles, preferably in a multicultural environment.

Skills:

  1. Excellent communication and interpersonal skills, with the ability to interact effectively with employees and stakeholders from diverse cultural backgrounds.
  2. Strong organizational and multitasking abilities, able to manage multiple priorities and deadlines.
  3. Proficiency in English and Chinese.
  4. Knowledge of local HR compliance and basic administration.
  5. Strong problem-solving and decision-making skills, capable of handling complex HR and administrative issues in a fast-paced, multicultural environment.
