Job Description: Procurement Executive

Position Title: Procurement Executive

Department: Procurement

Reports To: Procurement Manager


Position Summary:

The Procurement Executive is responsible for sourcing, negotiating, and procuring goods and

services to meet the organization's operational and strategic needs. This role ensures cost-

effective purchasing while maintaining quality and delivery standards. The Procurement

Executive also plays a critical role in supplier relationship management and process

optimization.


Key Responsibilities:

1. Procurement Operations:

 Identify and source reliable suppliers and vendors for goods and services required by the

organization.

 Obtain competitive quotations and analyze proposals to select the most suitable suppliers

based on price, quality, delivery times, and reliability.

 Process purchase orders and ensure timely delivery of goods and services.

 Maintain accurate records of purchases, pricing, and supplier performance.

2. Vendor and Supplier Management:

 Establish and maintain strong relationships with suppliers and vendors to ensure smooth

operations.

 Monitor supplier performance, resolve any issues, and evaluate long-term partnerships.

 Conduct periodic supplier audits to ensure compliance with organizational standards.

3. Cost Control and Budget Management:

 Negotiate contracts, pricing, and payment terms to achieve cost savings without

compromising quality.

 Collaborate with the finance department to ensure budgetary alignment for procurement

activities.

 Track procurement expenses and generate cost analysis reports for management.

4. Compliance and Risk Management:


 Ensure all procurement activities comply with organizational policies and regulatory

requirements.

 Identify potential risks in the supply chain and implement strategies to mitigate them.

 Maintain updated knowledge of market trends, pricing fluctuations, and industry best

practices.

5. Process Optimization:

 Continuously evaluate and improve procurement processes to enhance efficiency and

reduce lead times.

 Utilize procurement software and tools for tracking, reporting, and optimizing purchasing

activities.

 Collaborate with internal teams to forecast procurement needs and streamline the supply

chain.





Performance Indicators:

 Achievement of cost savings and budgetary targets.

 Timely and efficient procurement of goods and services.

 Supplier performance and satisfaction ratings.

 Adherence to compliance and regulatory standards.

 Continuous improvement in procurement processes.


Work Environment:

 Office-based with occasional travel to supplier locations.

 Fast-paced and dynamic environment requiring adaptability and resilience.

Qualifications:

 Bachelor’s degree in Business Administration, Supply Chain Management, or a related

field.

 Minimum of 3 years of experience in procurement or supply chain management.

 Certification in Procurement (e.g., CPSM, CIPS) is a plus.
