Roles & Responsibilities
Recruitment & Selection:
- Define job descriptions (JD), source candidates, conduct interviews, and schedule face-to-face rounds.
- Manage offer issuance and background verification for selected candidates.
Joining & Induction:
- Collect and verify documents upon employee joining.
- Conduct referral checks, introduce new employees to the staff, and explain company policies/procedures.
- Software entries:
- Biometric: Thumb configuration.
- Time Track: Employee master updation.
- Easy Pay: Employee CTC structure and leave opening.
Annual Appraisal & Arrears:
- Conduct employee appraisal meetings with management and finalize salary revisions.
- Issue increment letters to staff, file acceptance, and disburse arrears accordingly.
Attendance & Leave Management:
- Download daily logs and perform monthly reconciliation of in/out times, absences, and late marks with the manual muster.
- Maintain a leave register for every employee, recording opening, availed, and closing balances on a monthly basis.
- Ensure monthly leave applications are submitted, approved by management, and properly filed.
Salary Processing:
- Calculate attendance-based salaries for staff and contract staff, get approval from management, and share with accounts for disbursement.
Full & Final Settlement:
- Conduct exit interviews and ensure a complete handover or assign tasks to the concerned person.
- Handle all relevant documents: resignation acceptance, FFS calculation, clearance letter, disbursement, experience letter, etc.
- Update software systems: block punch in ESSL, payroll exit process, and FFS uploading.
TDS Declaration & Assessment Report:
- Distribute declaration forms to taxable employees, ensure receipt, and update investments in payroll software.
- Generate projected TDS reports for each employee, share with accounts head/financial consultants for review and rectification.
- Share final projected TDS reports with employees before salary processing for accurate deductions.
Employee Benefits & Grievance Handling:
- Manage Mediclaim policy additions as per company terms.
- Maintain good personal well-being and communication with all staff, vendors, and consultants.
- Understand and manage employee grievances, escalating to management when necessary.
- Finalize processes for quarterly employee health check-ups and employee term insurance.
HR Policy & Procedures:
- Communicate with management to draft and get approval for new policies.
- Define procedures and design related form formats, ensuring compliance.
- Examples include attendance policy, late mark policy, purchase/consumables policy, joining policy, and related forms.
